What we hold

The club website holds only what it needs to let members sign in and to run the club:

  • Your sign-in record. If you have signed in with Google, Microsoft or Facebook, we keep your name, your email address and the account ID that provider gives us. We do not hold a password for you, and we do not keep your Google, Microsoft or Facebook access tokens, friends list, photos or posts.
  • The member list. If you are a club member, your email address (and sometimes your name) is on the list the club uses to decide who can see members' pages.
  • Things published on the site. Your name may appear in race results, club records, news articles, race reports or photo captions.
  • Admins only. If you are a site admin, we also hold the setting for your authenticator app.

Our privacy policy explains why we hold this and who can see it.

How to ask us to delete it

Email [club data protection email address] from the email address you use to sign in, with the subject line "Delete my data". Tell us whether you want us to:

  1. delete your sign-in record only,
  2. delete your sign-in record and remove you from the member list (if you are leaving the club), or
  3. also remove or hide your name from results, records or articles.

We reply to the email address we hold for you, so we know the request really comes from you. We will confirm when your data has been deleted, within one month of your request.

If you signed in with Facebook

You can stop the club website using your Facebook account at any time:

  1. In Facebook, go to Settings & privacy → Settings → Apps and websites.
  2. Find [name of the club's Facebook app] and choose Remove.

This stops the connection between your Facebook account and our website, but it does not delete the sign-in record we already hold. To have that deleted too, email us as described above.

You can do the same for Google at myaccount.google.com → Security → Your connections to third-party apps and services, and for Microsoft at account.microsoft.com → Privacy → Apps and services.

What happens when we delete your data

  • Sign-in record: deleted completely. If you sign in again later, a new record is created.
  • Member list: if you are still a club member, deleting your sign-in record does not take you off the member list, so you can still sign in. If you are leaving the club, we remove your email address from the list and you can no longer see members' pages.
  • Results and records: we can withhold your name from published results, so the result shows without it. Club records are part of the club's history, so we will talk to you about how you would like a record to be shown.
  • Articles and photos: we will remove or edit articles and captions that name you, as far as we reasonably can.
  • Backups: deleted data drops out of our backups as they are replaced, within [backup retention period, e.g. 30 days].

Your rights

Under UK data protection law you can ask to see, correct or delete the personal information we hold about you. If you are unhappy with how we have handled your request, please tell us first at [club data protection email address]. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
